WeSuite, LLC (WeSuite) values its users’ privacy. This Privacy Policy describes our practices with respect to Personal Information we collect from or about you when you use our website, applications, and services (collectively, “Services”). This Privacy Policy (“Policy”) will help you understand how we collect and use personal information and what we will and will not do with the information we collect. Our Policy has been designed and created to assure those affiliated with WeSuite, LLC of our commitment and realization of our obligation not only to meet, but to exceed, most existing privacy standards.

If you are a WeSuite Client, we will notify your System Administrator(s) and your Billing Contact on file via email of any changes or updates made to this Policy. If at any point in time WeSuite, LLC decides to make use of any personally identifiable information on file, in a manner vastly different from that which was stated when this information was initially collected, the user or users shall be promptly notified by email. Users at that time shall have the option as to whether to permit the use of their information in this separate manner.
This Policy applies to WeSuite, LLC, and it governs all data collection and usage by us. Through the use of wesuite.com and/or engagement with our company you are therefore consenting to the data collection procedures expressed in this Policy.

Please note that this Policy does not govern the collection and use of information by companies that WeSuite, LLC does not control, nor by individuals not employed or managed by us. If you visit a website that we mention or link to, or obtain services from third-party providers, be sure to review their privacy policies before providing the site / them with information. Information We Collect

Personal Information You Provide: We collect Personal Information if you create an account to use our products and services or communication with us as follows:
  • Account Information: Voluntarily provided information which may include your company name, company address, main point of contact(s) names(s), email addresses, phone number(s), and bank and/or credit card information which may be used to contact you and when you purchase products and/or services and to deliver and support the products and services you have contracted for.
  • User Content: When you contract to use our hosted services to provide Services, you provide Personal Information for the use of your system during initial deployment. You are responsible for maintaining system information and any changes to that information. WeSuite performs automated daily database backup services for WeSuite hosted clients. WeSuite may access system data, including Personal Information, when performing requested Services. Please review the hosted service provider, AWS (Amazon Web Services) Privacy Policy for additional information.
  • Licensed Use of Services: WeSuite licensing software collects Client user information to audit application use for billing of Services.
  • Communication Information: If you communicate with us, we collect your name, contact information, and the contents of any messages you send (“Communication Information”)
  • Social Media Information: We have pages on social media sites like Facebook, LinkedIn, X, and YouTube. When you interact with our social media pages, we will collect Personal Information that you elect to provide us, such as your contact details (collectively “Social Media”). Additionally, the companies that host our social media pages may provide us with aggregate information and analytics about our social media activity.
  • Other Information: We collect other information that you may provide to us such as when you participate in events, surveys, interviews, webinars, website contact forms, or provide us information to establish your identity (collectively “Other Information You Provide”).
Personal Information We Receive Automatically From Your Use of Our Services: When you visit with, use, or interact with the hosted Services, we receive the following information about your visit, use, or interactions (“Technical Information”):
  • Log Data: Information that your browser or device automatically sends and may include your Internet Protocol address, browser type, the date and time of your interaction, and how you interact with our Services.
  • Usage Data: We may automatically collect information about your use of the Services, such as the type of content that you view or engage with, the features you use, your time zone, country, dates and times of access, type of device, and connection.

Please rest assured that, with the exception of information automatically provided from your use, we only collect personal information that you knowingly and willingly provide to us by way of use of Services, surveys, completed call to action forms, completed billing information payment forms, emails, and other forms of communication. Why We Collect Information and For How Long
We are collecting your data and my use it for several reasons:
  • To better understand your needs and provide you the Services you have requested or contracted for;

  • To send you promotional emails containing information we think you may like when we have your consent to do so;
  • To contact you to fill out surveys or participate in other types of market research, when we have your consent to do so;

Use of Information Collected
WeSuite, LLC does not now, nor will it in the future, sell, rent, or lease any of its customer lists and/or names to any third parties.
 
WeSuite, LLC may collect and may make use of personal information to ensure delivery of the Services you need, contract with, and/or request from WeSuite or third-party vendors, and to assist in improving the operation of our website and communications.
WeSuite, LLC uses various third-party social media features including but not limited to Facebook, X, LinkedIn, and other interactive programs including but not limited to Microsoft Teams, GoToWebinar, Teachables, etc., which may change from time to time. These may collect your personal information, IP address and require cookies to work properly. These services are governed by the privacy policies of the providers and are not within WeSuite LLC’s control.
At times, we may find it necessary to use personally identifiable information as a means to keep you informed of other possible products and/or services that may be available to you from WeSuite. WeSuite, LLC may also be in contact with you with regards to completing surveys and/or research questionnaires related to your opinion of current, potential, or future products and services that may be in use or offered.
 
Disclosure of Information
WeSuite, LLC may not use or disclose the information provided by you except under the following circumstances:
  • as necessary to provide services or products you are interested in or have contracted for;
  • in other ways described in this Policy or to which you have otherwise consented;

Non-Marketing Purposes
WeSuite, LLC greatly respects your privacy. We do maintain and reserve the right to contact you if needed for non-marketing purposes (such as support services, security breaches, account issues, and/or changes in WeSuite, LLC products and services, or changes to this Policy). In certain circumstances, we may use our website, or other public means to post a notice.

Children under the age of 13
WeSuite, LLC’s website is not directed to, and does not knowingly collect personal identifiable information from, children under the age of thirteen (13). If it is determined that such information has been inadvertently collected on anyone under the age of thirteen (13), we shall immediately take the necessary steps to ensure that such information is deleted from our system’s database, or in the alternative, that verifiable parental consent is obtained for the use and storage of such information. Anyone under the age of thirteen (13) must seek and obtain parent or guardian permission to use this website.

Unsubscribe or Opt-Out
All users and non-users have the option to discontinue receiving communications from us by way of email. To discontinue or unsubscribe from our communications please send an email that you wish to unsubscribe to privacy@wesuite.com, or utilize the ‘unsubscribe’ link included on email marketing correspondence. If you wish to unsubscribe or opt-out from any third-party websites, you must go to that specific website to unsubscribe or opt-out. WeSuite, LLC will continue to adhere to this Policy with respect to any personal information previously collected.

Links to Other Websites
Our website does contain links to other third-party websites. WeSuite, LLC does not claim nor accept responsibility for any privacy policies, practices and/or procedures of other websites. Therefore, we encourage all users and visitors to be aware when they leave our website and to read the privacy statements of every website that collects personally identifiable information. This Policy applies only and solely to the information collected by our website.

Notice to European Union Users
WeSuite, LLC’s operations are located primarily in the United States. If you provide information to us, the information will be transferred out of the European Union (EU) and sent to the United States. (The adequacy decision on the EU-US Privacy became operational on August 1, 2016. This framework protects the fundamental rights of anyone in the EU whose personal data is transferred to the United States for commercial purposes. It allows the free transfer of data to companies that are certified in the US under the Privacy Shield.) By providing personal information to us, you are consenting to its storage and use as described in this Policy.

Security
WeSuite, LLC takes precautions to protect your information. When you submit sensitive information, whether on the website or via other methods, your information is protected both online and offline. You can verify this online by looking for a lock icon in the address bar and looking for “https” at the beginning of the address of the webpage.

Wherever we collect sensitive information via electronic signature services sent from WeSuite (e.g. credit card and billing information), that information is transmitted to us in a secure way via the third-party provider.

We also protect your information offline. Only employees who need the information to perform a specific job (for example, account management, deployment, billing/collections, or support) are granted access to personally identifiable information. The computers and servers in which we store personally identifiable information are kept in a secure environment and user roles are defined and managed. This is all done to prevent any loss, misuse, unauthorized access, disclosure, or modification of the user’s personal information under our control.

The Company also uses Secure Socket Layer (SSL) for authentication and private communications to build users’ trust and confidence in the internet and website use by providing simple and secure access and communication of credit card and personal information.
